For many years, Emma has been offering a web-based product called Emma E-Doc. This product is set up for each individual organisation and is used for receiving, storing, calculating and seeking customs documents. Following changes in how import VAT is handled, the market for this product has more or less exploded.
Maintenance and operation of the system is handled by Emma. Emma E-Doc is part of Emma’s new generation of web systems and has been a great success among import and export firms. Many companies that purchase external custom clearance services currently spend a great deal of time and resources in keeping track of fees incurred. Current requirements for efficiency and low costs mean that many transport logistics firms send declarations by email. Emma E-Doc has been developed to meet this need and has a straightforward user interface. Daily electronic transfer of customs documents makes life much easier.
Emma E-Doc automatically collects customs-declaration documents from the transporters and presents these in a logical manner. It is also possible to manually add declarations as well as to add related documents as desired. The monthly accounting reconciliation with the customs authorities is carried out automatically and efficiently as soon as this is loaded up via the Norwegian Altinn system. This eliminates manual checking of the customs account and makes it easy to track any discrepancies. Emma E-Doc satisfies the requirements of the customs authorities with regard to information storage (in relation to the Norwegian Customs Act §4-12 and §13-4), thus replacing requirements for internal archiving. The documents are stored for the legally-required period of 10 years. Emma E-Doc is and will remain an important tool for customs audits.
Emma E-Doc can also be expanded with an add-on module for invoice matching against accounts. All information in Emma E-Doc is searchable and has good facilities for printing out in a selection of standard report formats, such as statistics and customs accounting reconciliation checks. It is also possible to transfer data into Excel.
